To find where a church is overspending, I need exactly one file: a general ledger export — every transaction, all accounts, the last 12 months. Every church accounting system can produce it in a few clicks, but the report goes by different names in each one. Here's where it lives.
Whatever your system, aim for these four things:
- A full 12 months (a calendar year or your fiscal year — either works)
- All accounts — income and expenses, not just one bank account
- Excel or CSV format (PDF works, it's just slower)
- The detail/transaction-level version, not a summary
QuickBooks Online
- Go to Reports and search for "Transaction List by Date" (or "General Ledger" — either works)
- Set the report period to the last 12 months
- Click the export icon → Export to Excel
Tip: if the report offers columns for Name/Vendor and Memo, include them — vendor names are where the findings hide.
Xero
- Go to Accounting → Reports
- Open "Account Transactions" (or "General Ledger")
- Select all accounts, set the date range to the last 12 months
- Export → Excel (or CSV)
Aplos
- Go to Reports
- Open the "Transactions" report (sometimes listed as Transactions by Account or Account Register)
- Set the date range to the last 12 months, include all funds and accounts
- Export to CSV or Excel
ChurchTrac
- Open the Accounting section
- Go to Reports and choose the transaction/register report
- Set the date range to the last 12 months, all accounts
- Export as CSV
PowerChurch
- Go to Accounting → Fund Accounting → Reports
- Run the transaction detail / journal report for the last 12 months
- Use File → Print to file (or the export option in newer versions) to save as CSV
PowerChurch is desktop software and menu paths vary by version — if you can find a report showing every transaction with dates and amounts, that's the one.
Realm / ACS (ACS Technologies)
- In the accounting module, go to reports
- Run the GL transaction or journal report for the last 12 months
- Export to Excel or CSV
Church Windows / Shepherd's Staff / other desktop systems
Look under the accounting reports menu for anything named journal, transaction detail, or register. Run it for 12 months, all accounts, and export or print-to-file as CSV.
No accounting software? Use your bank.
If your books live in a spreadsheet (no shame — a lot of churches under $500K run this way), download the last 12 months of transactions as CSV from your bank's online portal, plus your credit/debit card statements. It's missing your category labels, but vendor names and amounts are what matter most — I can work with it.
Two optional add-ons that make the report better
- A balance sheet (one page, any recent month) — this unlocks the idle-cash analysis, which is often the single biggest dollar finding. Every system above has it under Reports → Balance Sheet.
- Your budget (whatever format you have) — this unlocks the over-budget watch, which shows you which ministry areas are quietly running hot.
What happens next
Upload the file and within 24 hours you'll get back a free savings report — what I'd expect your church to save, category by category, from your actual numbers. I personally review every report before it goes out. If the export gives you any trouble, just send what you have — I've untangled worse.
